About the Department
Project Management at Tambourine plays a critical role in delivering high-performing websites and digital solutions by ensuring a smooth, structured, and collaborative build process. We bridge the gap between internal teams and clients, optimizing workflows and managing resources to bring websites to life seamlessly and efficiently.


About the Role
The Project Coordinator reports to the Director of Project Management and ensures the smooth execution of website creation by supporting internal teams, managing resources, and maintaining project documentation.

What you will be doing

  • Set up projects and organize client assets for both internal and external use.
  • Assist the assigned Project Manager in processing all client feedback requests during the onboarding process.
  • Prepare and maintain detailed project documentation, including meeting notes, issue and action item recaps, status reports, and lessons learned.
  • Upload website content in the Content Management System, including copy, images, custom modules, RFP forms, menus, special offers, and interactive maps.
  • Conduct quality assurance checks on client website functionality for all projects, both pre- and post-launch.
  • Assist with client discovery research and document findings.
  • Collaborate with design, development, and copywriting teams on client deliverables.
  • Coordinate and facilitate meeting logistics.
  • Prepare and deliver internal presentations with guidance.
  • Work with internal teams to enhance processes and products related to the onboarding process.
  • Perform additional duties as assigned or requested.

What we need from you

  • Ability to communicate clearly and concisely in both written and verbal formats when working with internal teams.
  • Works effectively with project managers, designers, developers, and copywriters to meet project goals.
  • Proactively identifies potential roadblocks and seeks guidance on how to resolve them.
  • Ensures accuracy when uploading content, auditing websites, and preparing reports.
  • Eager to take on new challenges and learn from feedback in a fast-paced environment.
  • Ability to balance multiple tasks and meet deadlines without compromising quality.
  • Takes initiative in assisting with tasks and looking for ways to support the team without needing constant direction.
  • Ability to follow structured QA checklists and test website functionality to ensure accuracy and performance.
  • Strong attention to detail in preparing meeting notes, action item recaps, and status reports.
  • Proficiency in Word, Excel, PowerPoint, Google Docs, and Google Sheets for project documentation and presentations.
  • Ability to assist with meeting logistics and ensure project deliverables remain on schedule.
